Who we are

CoachPilot LLC ("CoachPilot," "we," "us," or "our") is a Washington-registered limited liability company operating youth sports coaching clinics in Bonney Lake, WA and surrounding areas.

What data we collect

Registration and waiver information

• Parent/guardian name, email, and phone number
• Player name, age
• Emergency contact name and phone number
• Medical information: known conditions, medications, allergies, physician contact
• Insurance provider (optional)
• Signed liability release and waiver acknowledgments
• Session preferences and coach notes

Volunteer information

• Volunteer name, age, school/team affiliation
• Positions played and coaching experience
• Parent/guardian information if volunteer is under 18
• Training certification status (concussion, SCA)

Payment information

Payments are processed by Stripe, Inc. CoachPilot does not receive, view, or store your credit card number or full billing details. Stripe's Privacy Policy: stripe.com/privacy.

Website analytics

Basic page-view data (which page was viewed, when, and referring source) is stored in our database to help us understand traffic. No cookies for tracking. No third-party analytics services.

Why we collect it

• To register your player for the clinic and process payment
• To contact you about clinic schedules, cancellations, and important updates
• To provide emergency medical response if needed
• To comply with Washington state youth sports law (Lystedt Concussion Law RCW 28A.600.190, Sudden Cardiac Arrest Law RCW 28A.600.195)
• To fulfill legal and insurance requirements
• To operate our business and improve our services

Who has access to your data

Inside CoachPilot LLC

• Daniel Grande (Owner/Head Coach) has full access
• Adult coaches and volunteers have limited access to information necessary for their role (roster, allergies, emergency contacts) during clinic sessions only

Third-party service providers

• Supabase — database hosting (privacy policy)
• Stripe — payment processing
• Resend — email delivery
• Vercel — website hosting

We do not sell, rent, or trade your personal information with any third party for marketing purposes.

Data about children

We collect information about players under 13 as part of registration. This information is provided by the parent or legal guardian who registers the child. We follow the principle of collecting only what is necessary to safely operate our clinics and fulfill our legal obligations. Parents may request review, correction, or deletion of their child's information at any time by emailing Daniel.Grande@ymail.com.

How long we keep your data

• Registration and waiver data: current season plus 7 years
• Payment records: 7 years
• Volunteer records: current season plus 7 years
• Page-view analytics: up to 12 months

Your rights

You may request access to your data, correction of inaccurate data, deletion of your data (subject to legal retention), or opt out of marketing emails. Email Daniel.Grande@ymail.com. We respond within 30 days.

Security

We take reasonable technical and organizational measures to protect your data, including encrypted storage, TLS-encrypted transmission, and access controls. No system is 100% secure. In the event of a data breach involving your information, we will notify affected users promptly.

Photo and media release

Photo and video content taken during clinics may be used for marketing, social media, and program promotion, subject to the media release preference selected at registration. Parents may opt out at any time by emailing Daniel.Grande@ymail.com.

Changes to this policy

We may update this policy. The "Last Updated" date reflects any changes. Material changes will be communicated by email to active registrants.
